This organization specializes in creating and distributing educational content across multiple formats. Their portfolio includes textbooks, academic resources, and curriculum support materials that are widely used in schools and higher education. To meet the needs of global audiences, they also develop digital-first solutions—including eBooks, eLearning modules, and interactive editions—ensuring that their educational materials remain accessible, consistent, and engaging across various devices and platforms.
The client required a dependable partner to manage large-scale fixed-layout eBook conversions. The scope included delivering content in multiple formats, such as Fixed Layout ePub3, Read Aloud eBooks, and Fixed Layout eBook for Kindle editions, with volumes averaging 7,000 to 10,000 pages of content per month. Their priorities were preserving the precise design and page structure of a print book, ensuring formatting consistency across outputs, and achieving timely delivery to support ongoing publishing schedules.
For this project, the challenges lay in handling very complex educational content accurately, making it accessible for all target regions and devices, and delivering it fast enough to keep up with the client’s academic publishing deadlines.
We had to process thousands of pages that included complex elements such as mathematical equations, chemical structures, and multi-layered diagrams. Preserving accuracy in MathML, SVGs, and multi-column layouts was critical, as even minor errors could compromise the material’s intent and educational value.
Many titles combined dense text with images, tables, sidebars, and teacher-student parallel notes, requiring pixel-perfect alignment across digital formats.
With the goal of converting 7,000–10,000 pages per month, even a small formatting inconsistency risked multiplying into hundreds of errors, putting publishing timelines and reputations at risk.
The client’s commitment to global reach meant every edition had to align with evolving accessibility standards, like WCAG AA for Fixed Layout ePub3 and EPUB Accessibility 1.1.
New academic editions were tied to school calendars. Delays in conversion would have directly impacted curriculum rollouts across multiple geographies.
We implemented structured workflows for each eBook format needed. Additionally, by combining automation for efficiency with quality checks by subject matter experts for high-complexity titles, we ensured every output met the publishing standards required at scale.
Separate workflows were established for Read Aloud editions, Kindle, and Fixed Layout ePub3 conversion with accessibility compliance. Routine steps such as file preparation and baseline formatting were automated to save time, while complex elements — equations, diagrams, and multi-column layouts — were reviewed individually to maintain correct reading order in Fixed Layout eBooks. For STEM-heavy titles, subject matter specialists verified MathML, chemical structures, and diagrams to preserve the accuracy and integrity of the original material.
All deliverables were produced in line with international accessibility and interoperability standards, proactively resolving EPUB Fixed Layout accessibility challenges. This included WCAG 2.1 AA for accessibility, EPUB Accessibility 1.1 for metadata & navigation requirements, and ARIA markup to improve compatibility with assistive technologies. Together with device testing, this ensured the client’s catalog was future-ready and usable worldwide, across Kindle, Apple Books, Adobe Digital Editions, Google Play Books, and other major platforms.
Every eBook was checked to maintain visual consistency — fonts, images, tables, and notes appeared exactly as intended across devices. Special handling was applied to hyphenated words and page breaks, preventing awkward breaks that could disrupt readability. This was especially critical for textbooks and reference-heavy titles, where clarity directly impacts usability.
Validation was integrated throughout the accessible eBook conversion workflow, not just at the end. Tools such as ePub Validator, Pagina ePub Checker, and Ace by DAISY were used to detect issues early (like missing image alt text in Fixed Layout EPUB, improperly tagged headings, incorrect reading order, accessibility metadata gaps), reducing rework and ensuring compliance with publishing standards. Device-level checks confirmed that the files rendered consistently across multiple reading environments.
The project was managed by a dedicated team of 12 eBook conversion specialists, supported by a 4-member quality control team. During peak academic publishing cycles, resources were scaled up as needed to maintain delivery schedules. This model ensured that the client’s monthly volume of 7,000–10,000 pages was consistently handled without compromising quality.
7,000–10,000 pages converted per month, without delays.
99% accuracy in preserving complex layouts, STEM, and illustrated content.
40% faster eBook conversion compared to the client’s earlier workflows.
We deal with highly complex educational content, and accuracy is non-negotiable. Deadlines tied to academic calendars leave zero room for error. With this team, we never had to worry — every edition was delivered on time, without a single slip in quality, and fully compliant.
