For the last few years, SunTec has been successfully converting judgments, case laws, court filings, contracts, statutes, articles and other legal materials from hard copy formats into electronic/digital format. We can also convert documents from one format like .doc to another format like .pdf.
Our Digitization capabilities ensure that you get electronic documents that can be searched, edited, re-formatted, re-used, re-purposed, indexed and organized into dynamic, live information assets.
We apply DTD like XML, HTML, XHTML or other pre-defined client templates and convert documents such that they can be repurposed for online delivery channels.
Process Followed
• We receive scanned copies from you as TIFF.
• We convert scanned files into text files using OCR and ensure that the converted product is 99.99% accurate by engaging our QA team in the process.
• Alongside OCR process, Subject Matter Expert (SMEs) go through your documents and identify the keywords, metadata and other client specifications and mark the printed copies of such documents.
• The marked and OCR document goes to the formatters who specialize in marking up/tagging the document in several
coding formats, including, HTML and XML. We can even work as per your customized tagging scheme.
• After this a final Quality Check is done on the documents to ensure committed levels of accuracy. The files are uploaded on to secure FTP location.
Challenge: We were approached by a group that develops computer tools for lawyers. They wanted us to convert around 6500 scanned judgments into an editable format in the space of 12 days. The input was to be OCRed and manually keyed.
Solution: With such a short deadline, the group decided to rely on our experienced Document Conversion Services. We employed three stages for the best execution of the project. The SME examined each document and marked it in accordance with client’s pre-defined template. The documents were converted into text files using OCR Conversion and then each document was proofread to ensure 99.99% accuracy. The converted document was made ready for publishing on internet by applying pre-defined tags. The entire process was capped with QA.
Results: Digitisation of Judgements completed on time has ensured that the client gets content that is easily editable and freely available to visitors. This has increased the amount of visitors to the site and also increased advertising revenues.
